The meeting room control system works like smart home products, controlling various devices like video, audio, lighting, and air conditioning. With changes in the AV system setup, we need to update the control panels and show different users how to use the new meeting room.

Background

Task & Challenge

  • The conference room is used by different roles for various types of meetings. We need to understand how each type of meeting is used to fix any issues with the old system or processes.
  • Understand the AV system's capabilities and optimize control panel design to provide users with the best functionality, whether features are lacking or excessive.
  • The environmental control system interface is a company-developed product, not designed as a web or app. It is essential to understand the framework limitations of this product to reduce communication costs during the handover with engineers.

Design Process

1. Research

Collaborate with researchers on different research directions.

Designer

  • Study the system diagram to understand the equipment architecture of the conference room.
  • Understand the interface design limitations of the control system and convert them into an easy-to-use panel interface.

Researcher

  • Interview user stakeholders and related parties to compile user application scenarios.
  • Discuss user scenarios with designers and create a user journey map.

2. Define

Discuss the project progress and issues with the researcher, and anchor the design goals.
Provides easy-to-use new system control
Reduce the learning and maintenance costs of new systems while improving functional experience
Improve the application value of this conference room.

3. Design & Hand-off

Discuss the panel operation process back and forth with engineers through user flow, and proceed with delivery and development after confirmation. Based on development habits, I will keep a text-free version of each button so that engineers can use it for detailed maintenance in the future.

4. Testing & Teaching

During the process, we followed up with RD on questions and tests, and later invited user units to demo and teach how to use the new conference room. In addition to conference users, maintenance units were also invited to participate and discuss the new system from the perspectives of different roles.

Solution

Scenario Preset

The use of image configuration varies depending on the purpose of the meeting.

In addition to meetings with clear needs, commonly used "on-site meetings(presenting)" and "online meetings(video conference)" are also designed for quick use.

Auto Switch

The central screen is an electronic whiteboard that allows speakers to make presentations from the front.

In order to make this situational application more convenient, designed to synchronously switch images and controls.

Mic Tracking

Camera can automatically tracks when participants in the video conference speak, providing an immersive experience.

In addition, custom functions are designed on the interface, and the cam can be moved to the correct position and saved directly through the panel, without the need for professional assistance.

Room Return Notify

Design an electronic exit process to replace the paper one, and then connect it to communication software for notification.

It not only reduces the management of paper data, but also allows technical units to receive conference room problems in a more real-time manner and provide more immediate support.

One-Click Auto Demo

In addition to designing for the original contextual users, we discovered that there were “+1” users.
VIP meetings will all use this conference room, so we designed an auto demo function.

Through videos and the product's ability to control environmental equipment, the auto demo provides a complete set of interactive tours to increase the impression of the company's products on guests.

In addition to daily use of the conference room, this conference room tour was honored to win the Top 3 Session in the 2023 Global Sales Kickoff event

Contribution

After receiving feedback, many designs were later introduced or optimized into the new conference room control system.
