The meeting room control system works like smart home products, controlling various devices like video, audio, lighting, and air conditioning. With changes in the AV system setup, we need to update the control panels and show different users how to use the new meeting room.

Background

Task & Challenge
  • Analyze different meeting types and user roles to identify issues in the existing system and improve workflows.
  • Assess AV system capabilities to refine the control panel—removing excess and filling gaps to ensure practical functionality.
  • Understand the limitations of the in-house environmental control system to align with its framework and streamline handoff with engineers.

Background

1. Research

Collaborate with researchers on different research directions.

Target
  • Analyze different meeting types and user roles to identify issues in the existing system and improve workflows.

Designer
  • Study the system diagram to understand the equipment architecture of the conference room.
  • Understand the interface design limitations of the control system and convert them into an easy-to-use panel interface.
Researcher
  • Interview user stakeholders and related parties to compile user application scenarios.
  • Discuss user scenarios with designers and create a user journey map.

2. Define

Discuss the project progress and issues with the researcher, and anchor the design goals.

Provides easy-to-use new system control

Improve functional experience with lower learning and maintenance costs.

Improve the application value of this conference room.

3. Design & Hand-off

Discuss the panel operation process back and forth with engineers through user flow, and proceed with delivery and development after confirmation.

Based on development habits, I will keep a text-free version of each button so that engineers can use it for detailed maintenance in the future.

4. Testing & Teaching

During the process, we followed up with RD on questions and tests, and later invited user units to demo and teach how to use the new conference room.

In addition to conference users, maintenance units were also invited to participate and discuss the new system from the perspectives of different roles.

Scenario Preset

Image configurations vary by meeting type.In addition to specific use cases, common scenarios like on-site presentations and video conferences are optimized for quick access.

Auto Switch

The central screen functions as an electronic whiteboard.

To streamline front-facing presentations, it enables synchronized switching of images and controls.

Mic Tracking

Auto-tracking enhances immersion by following active speakers, while custom panel controls let users adjust and save camera angles without expert help.

Room Return Notify

Replaced paper-based exit forms with a digital process linked to messaging tools, enabling faster issue reporting and response from support teams.

One-Click Auto Demon

Beyond the main users, we considered “+1” users like VIP guests.
An auto demo was created using video and device control to deliver an engaging, hands-free tour that highlights the company’s offerings.

Feedback

In addition to daily use of the conference room, this conference room tour was honored to win the Top 3 Session in the 2023 Global Sales Kickoff event

Contribution

After receiving feedback, many designs were later introduced or optimized into the new conference room control system.

Return Notify functionality was added to three meeting rooms

The next Auto Demo tour of other meeting room is scheduled for 2024 Q1

The UI components are maintained as a reference sample for customers purchasing this product.
